Master Presenter

Since having reviewed my own end of the semester presentation and since having to think critically about how I can be a better presenter, I turned to an article in the Harvard Business review for assistance and found that it summarizes the MP process perfectly.  In the article, “How to Give a Killer Presentation” the author, Chris Anderson, outlines five measures that will accomplish creating a great presentation; he suggests speakers should frame their story, plan their delivery, develop their stage presence, design their medium, and play to their strengths.  All of which sounds familiar and commonsensical but when dissected it resonates intensely.  The article clarifies:

Frame your story (Figure out where to start and end)

o    All people are wired to tell and listen to stories so telling a story will best engage an audience.

o    Determine what the audience already knows and don’t waste time restating information that will prove to bore your audience.

o    Quickly introduce why you care/interested and don’t waste time trying to convince your audience to care/interested.

Plan your delivery (Decide to memorize, rehearse, or simply converse)

o    Use presentation to map out the direction of the presentation but do not use as talking points.

o    Memorizing scripted presentations are best but ONLY when antiquate preparation has been given.

o    A conversational tone works best over passionate or authoritative tones.

Develop your stage presence (No matter how well you deliver a presentation content is always more important)

o    Keeping your lower body still is the most successful way to appear more commanding.

o    Eye contact is the most important physical hallmark of a good presenter.

o    Introduce yourself to as many of the audience members before your presentation because doing so will ease your nerves, make you present, and lifts the veil of a unfamiliar audience.

Design your medium (Enhance your presentation and not distract)

o    In order to avoid being repetitive and to be found interesting by the audience do not read out bullet points on your slides.

o    Stop relying on Power Point as your only medium when so many new relevant options are at your disposal.

o    Enlist the help of an artist, ARCHITECT, photographer, or graphic designer to help develop visual communications.

Play to your strengths (Be authentic)

o    Prepare presentations well in advance to allow for proper rehearsal time.

o    Be choosey about who you select to rehearse in front of because not all criticism should be considered or is valuable.

o    Substance over style.  It is fairly easy to coach out problems with delivery but almost impossible to coach in substance to a subject or story.

Concurrently, the author points out that it may be hard to give a good presentation but it is easy to ruin a good presentation and warns us from doing these 10 things:

  1. Make a really long introduction
  2. Speak too slowly and dramatically
  3. Inform the audience how important you are
  4. Refer to your note cards or TV monitor too often
  5. Cram your slides with numerous fonts, bullet points, or illustrations
  6. Use technical jargon to impress the audience
  7. Speak at length about you and your organization
  8. Remain unaware of how much time you have or used
  9. Don’t bother rehearsing
  10. Don’t make eye contact with anyone and just look at the tops of their heads

Finally, to further summarize, let go of being perfect and really know your material well.   This allows you to conduct a conversational dialog by being present with the audience and to evolve your presentation in real time by reacting to the audience’s response.

3 Ways to Manage Personal Burnout

Recent polls suggest Americans have had enough at work. The labor market seems to require more and more of the workforce – balancing continuing education, extracurriculars, and networking all while doing the job leads many of us to feel burntout. As a class of Evening MBA students, I’m sure every one of us can relate.

I’m quite a collector of “better living through research” materials and have noticed three burnout coping strategies that have proven themselves useful again and again.

1. Schedule daily quiet time.

“Everyday I start off happy, but then your boss is calling, your phone is ringing, and the dogs are barking. You’re trying to write an email and suddenly three people text you about a firedrill involving an SVP and a rejected project proposal. How am I supposed to manage stress if I can’t escape it?”

It’s a stress management trope for a reason: it works. Some call it unplugging, prayer, or meditation but no matter how you label it, humans were not designed to have constant stimuli interrupting their thoughts and functions. I subscribe to meditation twice a day, and have recently picked up transcendental meditation as a way to further my own practice.

2. Make time for nothing. Yes, nothing.

As my mother likes to say, “It’s your job to take care of you”. Schedule downtime and protect it fiercely. Sometimes that means protecting it from yourself – leave an hour a day to unwind and relax, and resist the temptation to fill that time with distractions like housework or chores (unless that means relaxation to you).

3. Learn to recognize burnout behaviors and have an action plan at the ready.

“I left the stove on last night, really? Yes, that is a nervous eyelid twitch.  No, I will not stop watching Parks and Rec and eating waffles – Leslie Knope gets me.”

Humans are creatures of habit and when threatened, we tend to revisit the same patterns that make us feel safe – whether it’s drinking too much, sleeping in, or even becoming selectively forgetful; when we’re burntout or stressed, our personal coping mechanisms rear their ugly heads.

If there’s a behavior in your life that seems to appear every time you’re facing a heavy workload or are scraping the bottom of the energy barrel, it’s a safe bet that burnout is on the horizon. Once you recognize these patterns, have a plan ready to address them.

The role emotions play in negotiation, collaboration, and team work intrigues me. We are instructed to be skeptical of emotions and in fact being professional is synonymous to being stoic.

Yet, this is at odds with the evolutionary development of our brains. According to the triune model of the human brain, the three parts of the human brain are: reptilian brain- responsible for unconscious actions like flight, fright,  or freeze response; limbic brain (mammalian brain)- responsible for attachment within society, care for young ones; and finally pre-frontal cortex- responsible for analysis, planning, communication etc. Hence,  we can see that our analytical abilities are in fact a recent addition to our brain structure and ignoring the emotions can have insidious effects.

But how can we use our emotions genuinely and strategically.  This article from HBR  lists out some great points( which are listed below in my words):

  1. Being aware of ourselves and emotions
  2. Recognizing the trigger causing the particular emotion.
  3. Reinterpreting the trigger to elicit a positive emotion.

Lesson Learnt: Emotions are not bad we just need to use our superior analytic abilities to use them strategically.

FILM CRITIC HULK: Screenwriting 101 (The Art of Story-Telling)

FILM CRITIC HULK is a unique writer who uses all caps and “Hulk speak” to analyze movies, filmmaking and the way we consume movies. He allegedly works in the film industry with his real name, and he uses the comic book influenced pseudonym for all of his critical writing. He put together a book length treatise on the art of screenwriting that offers keen insight on story telling in general. Beware, getting past the CAPS LOCK WALL takes some practice.

Instead of giving a book report, recapping all of Hulk’s points, I’d like to highlight a few points that are clearly applicable to story-telling outside of the screenplay medium.  The full post has seven parts:

Hulk points out that, ” A GOOD NARRATIVE IS COMPELLING TO THE AUDIENCE, ECONOMICALLY TOLD, FEELS REAL EITHER IN TERMS OF EMOTION, DETAIL, OR TEXTURE, AND SPEAKS TO SOME THEMATIC TRUTH THAT YOU RECOGNIZE IN YOURSELF OR THE WORLD AT LARGE.” In the business world, this translates to making sure your audience is engaged in your subject and explaining it in a way with which the audience can identify. We all need to make persuasive arguments in the office, often to diverse audiences. The narrative that wins over a colleague to your point of view may not speak to your boss in the same way.

Hulk also points out that the most important force in telling a story is empathy. This is especially true when making a persuasive argument to a coworker over who you have no direct authority. Framing an argument as a story that the other party can relate to goes a long way toward getting your point across.

Hulk repeatedly derides constrictive structural rules when telling a story. Professors Noonan and Smith have mentioned the same point in regards to presentations. We covered the basic structure that would make a successful slide deck, but it’s important to bend the guidelines if it adds to the story or presentation.

I highly recommend all of Hulk’s writing, although it can get pretty long winded. Now I’ll just leave this right here:

Being Intentional with your Data and Giving your Graphics a Voice!

I have a particular interest in evaluation in the workplace– the evaluation of employees, work output, employers, etc. In the types of programs I’ve been in, I have found in very useful. However, I’m sure that most companies don’t have the time to thoroughly evaluate their work in a systematic and organized way. I have always worked in the research/higher education end of business, and so I don’t personally have experience with how evaluation works in the corporate setting.  How does evaluation look like in your industry or company?

A few years ago, I came across this site and I have been a fan ever since. The group is called Evergreen Data and they focus on intentional reporting and data visualization. I work in public health/higher education, and the public health industry is very data-heavy. Data in public health is used for analysis, program planning, grant opportunities, research, etc. and so I have seen the benefits of its use in my industry. What does your company do with its evaluation data?

This particular site had a checklist on how you should layout your evaluation reports which I’ve found super helpful! The purpose of the checklist is to help identify what parts of an evaluation report can be enhanced through the use of graphics.

Here are some of the items they had in their checklist:

  • Text font and size (sans serif and size 9-11)
  • Text uniformity
  • Line spacing (between 11-13 points)
  • Headers/callouts
  • The number of different types of fonts that you should use (no more than three!)
  • Don’t make too “strong” or “bold” of bullet points
  • Alignment (be consistent!)
  • Make sure that items in page that are grouped together are related
  • Utilize white/empty space!
  • Use of pictures/graphics – individuals learn differently from one another
  • Use color changes for a purpose (are you being intentional by choosing to change the color of a font or header?)

Evergreen also has an additional checklist that’s used for data visualization. It’s specific to making your graphs speak for themselves! This is a great resource as well.

What are some of the tips you have when creating reports (not exclusive to evaluation reports)? What steps do you take to have your data share a “story” or a “point”? Are you intentional in your decisions in terms of report layouts, font, graphics, etc.? Do you find that you have to pay more attention to this? 

Score your Presentations

I recently came across an article which was published on Forbes on  how keeping a score  of  your presentations   and rating your presentations and I did some research on a company which tracks constantly  presentation score  ranging  from 1-5 of its business executives. It was an idea which was  conceived by  George Chambers  the CEO of Cisco who scores 4.5 on a scale of 1-5.Cisco is the worldwide leader in IT that helps companies seize the opportunities of tomorrow by proving that amazing things can happen when you connect the previously unconnected. Many companies tried to be customer friendly or customer oriented but CISCO continues to win many laurels and awards  compared to its peers because its obsession Presentation Skills.

When a Cisco executive delivers an internal presentation at company events and meetings or delivers a customer facing presentation, that executive is rated on his or her communication skills as soon as the presentation is over. Employees or customers are asked to give the executive a score ranging from 1 to 5 on the following:

1.  DELIVERY:  The presentation was delivered clearly

2.  CONTENT:  I understand how this solution/topic can be applied

First, the results offer an executive feedback on how effectively they’re delivering the Cisco story and, second, senior executives review the scores to evaluate a person’s leadership potential. According to Ricci, “The data and metrics motivate people to get better, even a little competitive with each other.

I’ve been tinkering with Adobe InDesign and Illustrator. These programs are very powerful but can be equally as frustrating to manipulate – much more manageable after a couple beers.

I put together this standalone document to illustrate the rise of the craft and microbrewery industry. The content is engaging but I’m most interested in your thoughts on the formatting and design. Don’t worry about holding any punches – this is an early shot at the tool and feedback is helpful.

Presentation Tips From One Of The Masters: Steve Jobs

I used to love watching Steve Jobs unveil the new Apple products every year. I usually volunteered to cover the story at work, just so I could watch the announcement! He was always so passionate about what he did — and it certainly showed. I hope I can develop my presenting skills enough to convey the same excitement and conviction he did. One thing he always did so well was tell stories. He didn’t just explain why the iPod or iPhone was great; he wove a tale to make you understand why it was so great and want to buy it! You really felt like he was inspired by the product, and that you should be too.

He was also a master at keeping it simple. Jobs always managed to describe these complicated devices with simple, beautiful language that didn’t talk down to the audience. His slides were simple too: never cluttered with too many words or graphics. He let the images speak for themselves.

I also liked the way he stayed focused on his message. He never highlighted more than 3 things at a time. The human brain is only trained to process so much at once, so this enabled viewers to comprehend what he was saying in small, easily remembered parts.

Why companies should care about e-care

This recent McKinsey Quarterly article discusses the value and savings from offering and moving customers towards online self-service. I bet some of you all share my frustration with some companies and government organizations where you legitimately cannot find a phone number to call anyone or a location to go to because the company wants you to do everything online instead of bother them with a call.

Though these are typically extreme cases, as customer service becomes more mobile driven, faster, and altogether helpful, customers grow to expect this. Some companies are pressing ahead while others are miserably behind #Comcast.

Personal reflections on MP: Thoughts from the other side of the table

Last night I had the opportunity to join the one year MBAs, as they delivered their final presentations of the Delta project. After three (long…in a good way) semesters working with professors Noonan and Smith It was fascinating to sit on the other side of the table, and put a critical eye on the work of others. Let me start by saying that all five of the teams that I had the opportunity to watch did a great job, and clearly put time and energy into this project.

While I watched these presentations, what fascinated me most, was how far I feel that we, 2016 EvMBA’s have come since our first semester of MP. I went back and looked at slides from our Carlos Museum project and compared them to slides I saw in both our Delta and our personal reflection projects. I think it is fair to say that we all have come a long way in our story craft, our slide building capabilities, and our delivery techniques.

As I sat in room 234 writing notes and thinking of tough questions that could poke holes in the teams logic, I had to remind myself that they have not had the same opportunity to practice and refine these skills with previous semesters. This highlighted to me that practice really does help to improve these skills, and that I am a far better problem solver today than I was a year ago. I took this thinking one step further and wanted to equate this to my biggest take away from MP.

My key take away from the past three semesters was actually summed up best by Fawad in his final presentation last Thursday evening. As most of you recall, Fawad told a story about his home renovation; a project that revolved heavily around knocking down walls. His key theme, however, was not about the actual act of demolition, or the renovation project itself, but rather around a problem solving technique. As his exact quote escapes me, I will paraphrase a point that Fawad was able to articulate so well. “If you break down large complex problems into identifiable and manageable tasks, you can begin to see how a seemingly daunting task is actually rather simple if approached it the correct way.”

Since last Thursday, I can already recount three instances where I used this piece of advice not only in daily thinking, but also in a presentation to my company. I now view problems and structure solutions in a way that I had never thought about one short year ago.
